Privacy Policy

1. Who We Are

VocabStorage is a Canadian language-learning service operated by a sole proprietorship based in Alberta, Canada.

In this Privacy Policy, “VocabStorage,” “we,” “us,” and “our” refer to the proprietor operating under the registered business name VocabStorage.

This Privacy Policy explains how we collect, use, disclose, process, and retain personal information when you visit our website, create an account, use our language-learning service, use our mobile applications, or contact us.

VocabStorage is designed and operated as a Canadian service. Its availability in multiple languages is intended to support Canada’s multilingual community and does not indicate that the Service is specifically directed to any particular country outside Canada.

2. Information We Collect

Depending on how you use the Service, we may collect the following information.

Account information

We collect your email address, account identifiers, authentication information, and any profile information you choose to provide.

If you sign in using Google or Apple, we may receive information authorized by you and provided by that authentication service, such as your email address, name where available, and a provider-specific account identifier. We do not receive your Google or Apple password.

Learning information

We collect the vocabulary, translations, categories, native and learning language preferences, exercise answers, practice history, learning progress, settings, and other information you provide while using the Service.

We may calculate information such as a word’s learning strength, practice priority, or frequency of appearance in exercises to select and organize learning activities.

Support information

When you contact us, we may collect your name, email address, messages, attachments, and any other information you choose to provide.

Subscription information

We collect information about your plan, subscription status, payment-related identifiers, transaction status, and records needed to provide and administer subscriptions.

Payments are processed by Stripe. We do not store your complete payment card number or card security code. Stripe collects and processes payment information under its own privacy policy and legal obligations.

Consent and legal records

We may record the versions of legal documents you acknowledge or accept, relevant dates and timestamps, account identifiers associated with those actions, and your marketing communication preferences.

Analytics information

With your consent where required, we use Google Analytics to understand how visitors interact with the Service.

Analytics information may include cookies and online identifiers, browser and device information, pages or screens viewed, interactions with the Service, referring sources, session information, and approximate geographic information derived from an IP address.

Technical and security information

We collect technical information reasonably necessary to operate, maintain, troubleshoot, and secure the Service. This may include IP addresses, browser information, session information, timestamps, request information, authentication events, error logs, and security logs.

Push notification information

If you enable push notifications, we may collect and use a device push-notification token to deliver notifications. You can disable notifications through your device settings.

3. How We Use Information

We use personal information to:

  • Create, authenticate, and manage your account.

  • Store and organize your vocabulary and learning progress.

  • Select and personalize exercises based on learning progress, word strength, and practice priority.

  • Generate exercises, evaluate answers, and provide feedback.

  • Process subscriptions and manage access to paid features.

  • Provide Google and Apple sign-in.

  • Deliver push notifications that you enable.

  • Respond to support requests and communications.

  • Maintain, troubleshoot, and improve the Service.

  • Understand how the Service is used.

  • Protect accounts and the Service against misuse, fraud, unauthorized access, and security threats.

  • Maintain necessary consent, transaction, accounting, and compliance records.

  • Send account, security, billing, support, and other service-related communications.

  • Send marketing communications where you have provided the required consent.

We do not treat acknowledgment of this Privacy Policy as blanket consent to unrelated uses of personal information. Where consent is required, we request it separately and in an appropriate manner.

You may withdraw consent through available account or cookie settings or by contacting us. If personal information is necessary to provide a requested feature, withdrawing consent may prevent that feature from continuing to operate.

4. Artificial Intelligence Processing

We use third-party artificial intelligence services to provide language-learning features, including exercise generation and evaluation of exercise answers.

To generate exercises, we may send your selected native and learning languages together with non-user-specific exercise parameters to an AI service provider.

To evaluate an exercise answer, we send the submitted answer and information reasonably necessary to evaluate that exercise to an AI service provider.

We do not intentionally include your name, email address, account identifier, or other direct account information in these requests.

An exercise answer may contain personal information if you choose to enter it. Do not include sensitive information or personal information about yourself or another person in exercise answers.

AI requests may be processed in the United States or China, depending on the AI service used. Information processed in another country may be subject to that country’s laws.

5. When We Share Information

We disclose personal information only as reasonably necessary for the purposes described in this Privacy Policy.

We may share information with service providers supporting:

  • Hosting, infrastructure, backups, and data storage.

  • Artificial intelligence processing.

  • Payment and subscription processing.

  • Analytics.

  • Google and Apple authentication.

  • Transactional and marketing email delivery.

  • Customer communications and support.

  • Push-notification delivery.

  • Security, monitoring, and technical operations.

Service providers may process information only for the services they provide to us, subject to their contractual and legal obligations.

We may also disclose information:

  • Where required or permitted by applicable law, a court order, or a lawful request from a public authority.

  • Where reasonably necessary to investigate fraud, misuse, security incidents, or violations of our agreements.

  • To establish, exercise, or defend legal claims.

  • To protect the rights, safety, property, or security of VocabStorage, our users, or another person.

  • In connection with a proposed or completed sale, transfer, financing, reorganization, or other business transaction, subject to appropriate confidentiality and privacy safeguards.

We do not sell or rent personal information.

6. Cookies and Similar Technologies

We use essential cookies and similar technologies to maintain signed-in sessions, protect forms, remember preferences, secure accounts, and provide requested functionality.

With your consent where required, we also use analytics cookies through Google Analytics to understand how the Service is used and improve its operation.

Analytics cookies are not required to create an account or use the core language-learning features.

You can accept, reject, or withdraw consent for analytics cookies through the cookie controls provided by the Service. You may also manage cookies through your browser settings. Blocking essential cookies may prevent parts of the Service from functioning correctly.

7. International Processing

VocabStorage operates from Canada. Our primary application systems, databases, file storage, email service data, and backups are hosted in Canada.

Some personal information may be processed by service providers outside Canada. Based on our current service arrangements, processing may occur in:

  • Canada, for application hosting, databases, file storage, backups, email services, support, and related operations.

  • The United States, for artificial intelligence processing, analytics, payment processing, authentication, email delivery, communications, security, and related technical services.

  • China, when an artificial intelligence service located in China is used for exercise generation or answer evaluation.

Information processed outside Canada may be subject to different laws, including lawful access by courts, law-enforcement agencies, or public authorities in the country where the processing occurs.

We use reasonable contractual, technical, and organizational measures when working with service providers. VocabStorage remains responsible for personal information under its control.

We may change service providers as the Service develops. We will update this Privacy Policy where a change materially affects the countries or purposes of personal information processing.

8. Retention and Account Deletion

We retain personal information only for as long as reasonably necessary to provide the Service and fulfill the purposes described in this Privacy Policy, or as required for applicable legal, accounting, security, and dispute-resolution purposes.

You may delete your account through the account settings or through the public account-deletion page.

When you delete your account, your active account and associated personal learning data are deleted from our active systems without unreasonable delay.

Deleted information may remain in encrypted backup copies for up to 90 days before those copies are overwritten or deleted through our normal backup cycle. Backups are used only for security and disaster recovery. If a backup is restored, previously completed account-deletion requests will be reapplied.

Support correspondence provided separately through email or a support request may remain until it is no longer reasonably needed to respond to the request, maintain security, resolve disputes, or comply with legal obligations.

Payment processors, authentication providers, email providers, analytics providers, and other service providers may retain transaction, security, or operational records under their own retention policies and legal obligations.

After account deletion, we do not use retained information to sign you in, recreate your learning profile, or send marketing communications.

9. Your Privacy Choices and Rights

Depending on the laws applicable to you, you may have rights to:

  • Request access to personal information we hold about you.

  • Request correction of inaccurate or incomplete personal information.

  • Request deletion of personal information.

  • Withdraw consent where processing is based on consent.

  • Object to or restrict certain processing.

  • Request a portable copy of certain information.

  • Exercise other applicable privacy rights.

You can update available account details through your account settings. Other requests may be submitted to support@vocabstorage.com.

We may request information reasonably necessary to verify your identity before completing a request. We will respond within applicable legal time limits and explain any lawful reason why a request cannot be fulfilled completely.

You may withdraw consent for analytics cookies using the cookie controls available through the Service.

You may unsubscribe from marketing emails using the unsubscribe mechanism included in those messages. We may continue sending necessary account, security, billing, support, and service communications.

Users may have additional mandatory privacy rights depending on where they live. Nothing in this Privacy Policy limits rights that cannot lawfully be limited.

You may raise a concern with an applicable privacy regulator, including the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada, as appropriate.

10. Children’s Privacy

The Service is not intended for children under 16 years of age. Children under 16 may not create or use a VocabStorage account.

If you are at least 16 years old but have not reached the age of majority where you live, you may use the Service only with the permission of a parent or legal guardian.

We do not knowingly collect personal information from children under 16. If we learn that a child under 16 has provided personal information, we will take reasonable steps to delete the account and associated information.

A parent or legal guardian who believes that a child has provided personal information to VocabStorage may contact us at support@vocabstorage.com.

11. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, collection, use, disclosure, alteration, loss, or destruction.

These measures include protections appropriate to the nature and sensitivity of the information. However, no method of transmission, processing, or electronic storage is completely secure.

12. Aggregated and De-identified Information

We may create and use aggregated or de-identified information to understand how the Service is used, measure performance, identify general learning patterns, and improve the Service.

We do not use aggregated or de-identified information to identify individual users. This Privacy Policy does not restrict information that can no longer reasonably be associated with an identifiable individual.

13. Changes to This Privacy Policy

We may update this Privacy Policy as the Service, our service providers, legal requirements, or our information-handling practices change.

The effective date displayed with the current version indicates when that version took effect. We will provide notice of material changes where required by applicable law.

Where a change requires additional consent, we will request that consent before carrying out the relevant processing.
